EQUIPMENT CATALOGUING J. McRee (Mac) Elrod

These procedures are local SLC practice.

Equipment may be catalogued using AACR2 Chapter 10 ... Realia, or by RDA.

RDA changes are noted below at affected fields.

The one change which would be helpful to patrons would be to use the non AACR2 GMD 245$h[equipment], since few know the meaning of '[realia]", nor think of equipment as such; also add "equipment" as an unmediated RDA carrier.

The SMD or unit name should be as specific as possible, e.g.,

300 $a1 Kobo electronic reader.

Note that you have a 655 genre heading rather than a 650 subject heading, since the item is, as opposed to being about, equipment. You may also add 655 genre headings for the specific type of equipment, e.g., 655 4 $aElectronic readers.

In cataloging electronic readers, 505 contents and 7XX added entries may be used for contents if to be left unchanged. Others may choose to catalogue the contents.

These guidelines should be used for equipment not needing other devices to use. Electronic carriers requiring devices, e.g., a USB flash drive, should be catalogued ], or in RDA 336-338 text, computer, object.

MARC21 field order is used for suggestions:

Variable fields

024 Other standard identifier

Equipment often has a model number and/or serial numbers.
These may be entered in repeating 024 7 $a, with source in
$2, e.g. 024 7 $a1234567$2GE model number.

Utlas 090$e, MARC 852$p or 876$a are other options for serial number.

040 Cataloguing agency

Field 040 says $a who catalogued; $b in which language (LAC records only); $c who made it machine readable; and $d who finished the record. Today originals are usually done in one operation online, but use 040 aCaBNVSL$cCaBNVSL$dCaBNVSL (substitute your code for
SLC's).

For RDA records insert $b language (e.g., eng, fre) and $erda, in that order following $a. Repeat the 040$a code in $c if lacking; and add $dCaBNVSL (or your code). MARC record checking software expects to find at least subfields $a and $c.

For derived records, replace any existing $d other than $dDLC.

The order of subfields is 040$a$b$e$c$d.

050 LCC

Library of Congress call number (LCC); In MARC record key as 050 2nd indicator 0 (assigned at LC) or 4 (local), e.g.: 050 4 $aAB1234.5$b.D78 1998, or if two Cutters, 050 4 $aAB123.5.C6$bD78 1999. Note period for first Cutter, $b for second, both for one Cutter,
but only one of each.

[055 Canadian FC, KF, and PS 8000]

082 DDC

Dewey Decimal call number (DDC); 2nd indicator 0 if assigned by LC, 4 if local. Omit Cutter. Use " / " to indicate natural breaks. In OCLC records, locally assigned DDC numbers plus Cutter are keyed in 092.

MARC tag number varies with system. [ At SLC coded with slashes for line breaks, e.g.: 090 0 $aAB/1234.5/C6/D78/1998$bMAIN$c1-2$d1-2 ($b = location, $ccopies, $dvolumes)]

In some OCLC records keyed like 050 and used for locally assigned LCC numbers.

245 Title

The title as on the piece of equipment. If there is no title, supply one in square brackets.

In a MARC record, use 1st indicator 0 for title main entry.

245$h[equipment]

Although not an AACR2 GMD, SLC patrons like 245$h[equipment], as opposed to $h[realia], which they prefer for naturally occurring objects.

RDA: Omit 245$h. Enter appropriate 336-338 (see below)

246 Alternate title

Alternate title which represents the whole piece of equipment, e.g., a portion of the title.

250 Edition

Model and serial number.

260 (AACR2) manucaturer

Field 264 is repeating, with first indicator for sequence (2 intervening, 3 current); second for function (0 production (for unpublished matrial) , 1 publication, 2 distribution, 3 manufacture, 4 copyright date.

300 Collation

The SMD (RDA unit name) should be as exact as possible. Size in $c should correspond to the item in hand, not examples above.

In RDA, abbreviations would be spelled out, and period omitted from from "cm" unless followed immediate by 490 series.

MARC21 Fields for RDA Content, Media Type, and Carrier Terms Fields 338 and 336 should be displayed at head of other data, or icons substituted.

Only those possibly relevant for equipment given.

336 Content type

Follow each term with $2rdaontent, except "large print text" $2mricontent.

[SLC finds "equipment" more informative for patrons than "object" for a Kobo. Kindle, or other electronic devices.]

Equipment is unlikely to be part of a series, but if so:

490 1 Series as on item.

Beginning June 1, 2006, the US Library of Congress is coding all series as 490 0.

It has been SLC policy since January of 1979 to have no 490 0 in bibliographic records.

If the 490 0 transcribed series statement contains a subject word, e.g., "Studies in chemistry", change the 490 0 to 490 1, and enter the series in 830 with 2nd filing indicator 0-4. If the series title is generic, e.g., "Report" or "Works", and has been
established in either the LC or LAC authority files, add the name of the responsible body or person in curves.

Provide ";$v" issue number or year as relevant. Include ISSN in $x if available.

500 Notes

Descriptive phrases from the item may be given in quotes.

501 Accompanying material

505 Contents

May include programs on a computer, indication of fixed contents of a reader. A 520 phrase such as "contains 20 novels" may be used rather than listing contents, if each title has its own bibliographic record.
